The Challenge

Every contractor bid arrives in a different format

For every project that goes out to bid, the team collected multiple GC proposals and mapped each one onto Range's internal cost-code taxonomy by hand, line by line.

Lump-sum bundling, variable-count alternates with deducts, and bundled fees (insurance, payroll tax, permits) all required judgment calls under time pressure. A single mismatch, like a lump-sum figure drifting from its backup detail, could throw off an entire comparison.

With numerous leveling projects every month and bid volume growing, even small efficiency gains mattered.

The Solution

KeyDocs Bid Leveling, built around Range's taxonomy

After piloting Keyway's platform, Range implemented a custom KeyDocs workflow. The team drops in GC proposals and automatically gets a standardized, leveled comparison instead of re-keying every line item.

KeyDocs

Keyway's AI document analysis platform. It extracts structured data from leases, contracts and deal documents, with full traceability back to the source.

Key Capabilities

AI bid comparison generation

Upload GC proposals and get an auto-filled, leveled comparison sheet within minutes.

Canonical taxonomy mapping

Every GC's line items are mapped onto Range's own cost-code taxonomy, however each contractor structured its proposal.

Built-in reconciliation logic

Lump-sum figures are checked against detailed backup to catch drift, and bundled fees are routed correctly.

Flexible alternates handling

Variable-count alternates and deducts are handled dynamically, with automatic flagging when a GC skips one.

Human in the loop by design

Anything that doesn't map cleanly lands in an "unmapped / needs review" bucket, so the team keeps every judgment call.

Chat with Docs

The team can ask questions across GC proposals to surface key terms and differences without reading each one cover to cover.

Peter Ferramosca

Our KeyDocs Bid Leveling workflow reduced a 4-hour manual process to just 30 minutes. Instead of spending hours with a yellow highlighter comparing contractor proposals, we now generate true apples-to-apples bid comparisons while systematically surfacing gaps that improve the quality of every client deliverable.

The Result

One of the most document-intensive workflows, now measured in minutes

A process that required four hours of manual work for every proposal package now takes approximately 30 minutes, saving the team more than 540 hours a year. KeyDocs has also standardized bid comparisons, reduced reconciliation effort and improved the consistency of client-facing deliverables.

  • 88% reduction in bid leveling and proposal generation time (4 hours → 30 minutes)
  • 540+ hours saved annually (approximately 45 hours per month)
  • Apples-to-apples contractor comparisons using Range's standardized taxonomy
  • Automated identification of missing scope and proposal inconsistencies
  • Reduced reconciliation effort through built-in validation logic
  • Faster, more informed contractor recommendations
  • Expanded KeyDocs usage beyond bid leveling through Chat with Docs

Bid leveling was the first step

Having automated one of its most document-intensive workflows, Range's project management team is positioned to extend KeyDocs to RFP and contract generation, change orders, permit reviews and reconciliation, and project tracking documentation.
